Information we collect

When you contact us, we collect the information you provide. This may include your name, email address, telephone number, property address, appliance details and a description of the work you need. We also keep relevant correspondence and any photographs you choose to supply.

Please only provide information relevant to your enquiry. You do not need to send payment card details or sensitive personal information through our contact form.

Our website is hosted by Squarespace. It processes technical information such as IP addresses, browser and device information, and information about website requests to deliver and protect the site. Any optional analytics we use are described in our Cookie Policy.

How we use your information

We use your details to answer enquiries, discuss your requirements and prepare quotations. Where you ask us to take steps towards entering a contract with you, we process the necessary information on that basis.

For general enquiries, business contact details, website security and handling concerns, we rely on our legitimate interests in operating our business, communicating with customers and protecting our services. We consider your rights when relying on these interests.

If you become a customer, we also use relevant information to arrange and carry out work, communicate about your job and manage payments. We process information where necessary to meet legal obligations, including applicable accounting and tax requirements.

Sending an enquiry does not subscribe you to marketing emails. If we introduce consent-based marketing, we will ask separately and explain how to withdraw your consent.

Who receives your information

Information is available to people within MESA who need it for their work. We also use service providers to operate our website, receive emails and manage our business records.

These include Squarespace, which hosts our website and processes website enquiries, and Microsoft (Microsoft 365), which provides our business email and cloud document storage.

Where necessary, we may share relevant information with our accountant, insurers, professional advisers, or authorities where legally required. If arranging your work requires another provider to receive your details, we will explain this where appropriate and share only what is needed.

We do not sell your personal information.

International processing

Squarespace and some service providers may process information outside the UK, including in the United States. Where required, transfers are covered by recognised adequacy arrangements or contractual safeguards.

Keeping your information

For enquiries that do not lead to work, our standard retention period is 12 months after our last meaningful contact.

If you become a customer, we normally retain relevant contractual and job records for six years after completion. Accounting records follow applicable statutory retention periods. Some information may need to be retained longer for an ongoing complaint, claim, guarantee or specific legal requirement.

We periodically review the information we hold and delete or anonymise it when it is no longer needed.

Your choices and rights

Depending on the circumstances, you can request access to your personal information, correction of inaccurate information, deletion, restriction of its use or transfer of certain information to another provider. You may also object to processing based on legitimate interests.

Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing.

You can choose not to provide information, but we may be unable to answer your enquiry or arrange work without relevant contact and job details. We do not use your information to make solely automated decisions with legal or similarly significant effects.
